When you submit an event enquiry, we collect: your name, company or organisation name, email address, phone number (if provided), event date, number of staff required, type of event, and any additional information you include. We use this information solely to respond to your enquiry and provide staffing services. When you apply to join the Onyx team, we collect: your name, email address, phone number, area of London, experience level, types of work you're interested in, availability, and a personal statement. We use this information to assess your application and, if successful, to contact you about available shifts. The legal basis for this processing is the performance of a contract (or steps taken prior to entering a contract) and our legitimate interest in recruiting suitable staff.
Form submissions are processed by Formspree (formspree.io), a third-party form service. Formspree acts as a data processor on our behalf and is bound by its own privacy policy. Submissions are delivered to our secure business email address and stored only for as long as necessary to fulfil the purpose for which they were collected.
We do not store your personal data on any public-facing server. This website uses Google Analytics to collect anonymous data about how visitors use the site (pages visited, time on site, general location). This data is aggregated and cannot be used to identify you personally. Google Analytics uses cookies to collect this information. Client enquiry data is retained for up to 2 years in case of future business and for accounting purposes. If no contract is formed, enquiry data is deleted within 6 months.
Staff application data is retained for up to 12 months. If you are not taken on, your data is deleted within 6 months of your application unless you have asked us to keep you on file for future opportunities.
We do not sell, rent or trade your personal data to any third party. We do not share your data with any external organisations except where required to fulfil your request (for example, passing relevant event details to staff assigned to your event) or where required by law.
